Which guide do I need?
The Document Management System gives you two ways to publish an uploaded document. Publish Immediately (Article 1) is the fastest path: the document is issued the moment you finish the creation wizard. Use it for single documents that need no revision history. Upload to Supersede (this article) wraps the document in a minimal workflow so you can publish revision 0, then immediately publish revision 1, 2, and so on. It's ideal for backfilling documents that already have a revision history from outside the platform.
Before you start
You need an admin account. Have every revision of the document ready as separate files (e.g. the Rev 0 PDF and the Rev 1 PDF).
Part A: Create the document and publish Revision 0
1. Start a new document (same as Article 1)
Click + New Document, build the Document ID on the Identity step, choose Upload on the Type step and attach the file for your earliest revision (Rev 0), and fill in the Details step. These steps are identical to Article 1, steps 1–4.
2. Workflow: keep "Require approval" and pick "Upload to Supersede"
On the Workflow step, leave Require approval selected, then open the Workflow drop-down and choose Upload to Supersede. This wraps the document in a minimal workflow that lets you publish revisions immediately, without signatures.
3. Skip Collaborators, then click "Create document"
Skip the optional Collaborators step. On the Review screen, the summary shows "Review workflow selected." Click Create document. Unlike Article 1, this creates a draft rather than publishing straight away.
4. On the draft, click "Issue Without Signature"
You land on the edit screen for the new draft (see the Draft Documents tab highlighted in the sidebar). Because of the Upload to Supersede workflow, the workflow panel on the right offers an Issue Without Signature button. Click it to publish the document immediately.
5. Revision 0 is now issued
You're automatically redirected to the document view on the Issued Documents tab. Revision 0 is now the official issued document.
Part B: Backfill the next revision (Rev 1, Rev 2, …)
Repeat this part once per revision, always uploading in order (Rev 1, then Rev 2, and so on).
6. Click "Create revision"
On the issued document, click Create revision (top right). This opens an edit page for the new draft revision. The key control here is the Replace PDF button.
7. Replace the PDF with the next revision's file
Click Replace PDF and upload the file for the next revision (e.g. your Rev 1 PDF). The main content area updates to show the new file. Then click Issue Without Signature to publish this revision.
8. The new revision supersedes the old one
You're redirected to the issued view of the latest revision (Rev 1). The revision timeline on the right shows Rev. 1 issued and Rev. 0 superseded, and the Issued Documents tab now points at Rev 1.
Important: While a new revision is in draft, the last completed revision remains the official issued document. The draft only becomes the issued revision when you finish publishing it (step 7). Superseded revisions no longer appear in the lists. Use the revision drop-down in the top right of the viewer to look back at them.
